All about Workspaces

Your Shift setup is structured around Workspaces. Workspaces are unique groupings of email accounts, apps, bookmarks, and web tabs. As a paid user, there is no limit to the number of Workspaces you can add to your setup. ⚡

Workspace types

There are two types of Workspaces:

  1. Email-connected Workspaces
  2. Standalone Workspaces

Email-connected Workspaces are linked to a specific email account. When you click that email account icon in your Shift sidebar, you'll see the specific apps, bookmarks, and browser tabs that you have added to that Workspace. While each email account you add to Shift is a unique email-connected Workspace, you can choose to have the same apps appear across all your Workspaces (these are called "app shortcuts").

Standalone Workspaces are not linked to an email account and consist of apps, bookmarks, and browser tabs. When you click on the icon of the standalone Workspace in your sidebar, you'll see the specific apps, bookmarks, and browser tabs that you've added to that Workspace.

How to use Workspaces

Use Workspaces to better organize your workflows within Shift. Each Workspace, whether email-connected or standalone, acts as a unique grouping of apps, bookmarks, and web tabs. If you want to create the same groupings of apps across all (or a select few) of your Workspaces, you can do so by creating app shortcuts. App shortcuts allow you to access that app instance across any select number of Workspaces. More on how to use app shortcuts, here.

If you have specific apps that you use for specific email accounts or areas of your workflow, we recommend adding those apps to the desired Workspaces.

Standalone Workspaces are a great way to organize your tools by project or function. For example, add all your social media apps to a "Social Media" Workspace or add all your marketing tools to a "Marketing" Workspace.

How to add an email-connected Workspace

  1. Navigate to the “+” button at the bottom of the Shift sidebar and click “Add Workspace”
  2. Enter the desired email account (must be hosted Gmail by Google or Outlook/Office365 by Microsoft)
  3. Add a name, color, and icon for the Workspace
  4. Click “Create Workspace” and follow the prompts to sign in to your email

How to add a standalone Workspace

  1. Navigate to the “+” button at the bottom of the Shift sidebar and click “Add Workspace”
  2. Click “Skip”, leaving the email field blank
  3. Add a name, color, and icon for the Workspace
  4. Click “Create Workspace”

How to add apps to a Workspace

  1. Navigate to the newly-created Workspace by clicking the respective account icon in your Shift sidebar
  2. Navigate to the “+” button at the bottom of the Shift sidebar and click “Add Application”
  3. Type in the app you’d like to add and click on the app icon
  4. Add a name, choose a color, and specify where you’d like this specific app instance to appear across your Shift setup

Using the first drop-down menu, you can choose which Workspace you’d like to add this app to (in this case, you’d select the Workspace you just created). 

Using the second drop-down menu, you can choose whether or not this specific app instance appears on your sidebar when clicked into other Workspaces. This is called adding an app shortcut. Learn more about app shortcuts, here.

Note: you can add multiple instances of the same app to a Workspace

How to use Bookmark Bars with Workspaces

The Bookmark Bar section can be customized to display any bookmark bar of your preference within each Workspace. The default is the "Home Bar". You can create new Bookmark Bars and edit existing ones (the Home Bar cannot be edited, renamed, or deleted). A new, non-global Bookmark Bar is also added with every Workspace.

How do I delete a Workspace?

Simply right-click on the Workspace icon in your sidebar and click "Delete".

Is there a limit to how many Workspaces I can add to Shift?

If you're a paid user, there is no limit to the number of Workspaces you can add to Shift. Free users can add two Workspaces to Shift.

Can I drag a web tab from one Workspace to another Workspace?

No.
